At Learn For Life, we are committed to protecting your privacy and handling your personal information with care. We respect the confidentiality of everything you share with us and adhere to the Privacy Act 1988 (Cth), the Australian Privacy Principles, and our obligations as AHPRA-registered occupational therapists.

What Information We Collect

We may collect personal information including your name, contact details, date of birth, Medicare or NDIS numbers, referral information, and health information relevant to the occupational therapy services we provide. For children, this information is generally collected from a parent or guardian.

We collect information directly from you when you submit a referral or enquiry, communicate with us by phone or email, or engage with our services. We may also receive information from referring health professionals, schools, NDIS plan managers, or other providers involved in your care, with your consent where required.

We only collect information that is reasonably necessary to provide our services.

Health and Sensitive Information

Health information is sensitive information under the Privacy Act and is given the highest level of protection. We only collect, use, or disclose your health information with your consent, where necessary to provide the services you have requested, or where required or permitted by law.

As AHPRA-registered practitioners, all of our therapists have a professional and ethical obligation to protect your privacy and confidentiality, including when communicating online or in community settings. This obligation exists alongside and independent of this policy.

How We Use Your Information

We use your personal information to provide and manage your occupational therapy services, prepare assessments and therapy reports, process NDIS and Medicare claims, communicate with you about appointments and progress, coordinate your care with other treating professionals where relevant, and meet our legal and professional obligations.

We do not use your information for any purpose unrelated to your care without your consent.

If you subscribe to our newsletter or blog updates, we may send you relevant information from time to time. You can unsubscribe at any time and your request will be actioned immediately.

Disclosure of Your Information

We do not sell, rent, or trade your personal information. We may share your information with other health professionals involved in your care, NDIS and Medicare for funding and billing purposes, our secure third-party software and service providers, and legal or regulatory bodies where required by law.

We may also be required to disclose information in response to a court order, legal proceeding, or law enforcement request, or to protect the safety of a client or another person. As mandatory reporters under the Children and Young People (Safety) Act 2017 (SA), we are required by law to report certain concerns about the safety of a child, and consent is not required for that disclosure.

If our business is transferred or restructured, client information may be disclosed to a prospective party under a confidentiality agreement and only in good faith.

Where we share your information with third-party service providers, we require them to handle it securely and in accordance with Australian privacy law.

Children and Parental Consent

For clients under 18, personal and health information is generally collected with the consent of a parent or legal guardian. Parents and guardians have the right to access their child’s records, subject to the child’s best interests. As young people mature, we respect their developing capacity to make decisions about their own health information.

Storage and Security

We take reasonable steps to protect your personal information from misuse, loss, and unauthorised access. Your information is stored in secure, password-protected practice management software with access limited to authorised staff. Where paper records are held, these are kept in locked storage.

All information submitted through our website is encrypted in transit. Credit card information is not stored on our systems.

Health records for children are retained until the client reaches the age of 25, or for a minimum of 7 years from the date of last service for adults, in line with legal and professional requirements. When records are no longer required, they are securely destroyed.

If we experience a data breach likely to cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme.
